Customer Service Representative

IPC International, Inc. is looking to hire a Customer Service Representative. The Customer Service Representative provides customer and member order, membership, and technical support. Assure high level of customer satisfaction. Educate customer on and cross-sell products and services. Guide customers to online resources. Monitor issues and provide necessary follow-up and maintain consistency of service.

RESPONSIBILITIES

Phone and Email Support:

  • Provide a delightful experience for all customers.
  • Use and share the knowledge of company products, services, and policies to assist customers with inquiries, complaints, or problems.
  • Respond efficiently and accurately to customers, explaining possible solutions, and ensuring that customers and members feel supported and valued.
  • Engage in active listening with callers, conferencing and clarifying information and diffusing angered customers/members.
  • Communicate with customer and partners via email in a professional and thorough manner.
  • Building lasting relationships with customers and members and internal team members based on trust and reliability.
  • Make recommendations for products and services that better suit customer/member needs or complement the products they are interested in.
  • Seek answers to customer/member inquiries. Escalate issues and/or connect/refer customers/members with/to Customer Support Transactions lead or other colleagues for higher level support. 
  • Process phone, email, and web orders in a timely and accurate manner
  • Resolve backorders, follow up with warehouse on order fulfilment and keep customer updated on ship dates.
  • Process returns and other transactions as necessary within the ERP system.
  • Verify and update customer information before processing transactions, add new customer records to database when record does not exist.

Special projects and tasks:

  • Assist management with projects as needed.
  • Assist data entry and other internal teams with departmental assigned projects as needed.
  • Assist with trade show projects as needed.
  • As time allows, review data and process flow in NetSuite and suggest improvements.
  • Conduct testing of system updates as assigned.
  • Represent voice of customer on teams and in meetings/conversations as necessary.

REQUIREMENTS

  • High School Diploma or equivalent, some college preferred.
  • 2 years of experience working with customers/customer service.
  • Excellent oral and written communication skills to effectively communicate with employees, customers, partners, and vendors.
  • Ability to work independently and collaboratively.
  • Ability to exercise proven computer skills. Familiarity with Microsoft Office, Skype, and customer relationship management software a plus (e.g. SalesForce, NetSuite, Microsoft CRM, or equivalent). 
  • Knowledge of and the ability to use a variety of standard office equipment such as a headset, telephone, and copy machine.

Professional Development Coordinator

IPC International, Inc. is looking to hire a Professional Development Coordinator.  The Professional Development Coordinator supports the IPC Manager of Professional Development and Events with the planning and execution of technical conferences, webinars and in-person seminars, and professional development course programs for members of the electronics industry. With strong project management and exceptional written communication skills, the IPC Professional Development Coordinator will maintain accurate data and detailed documents and support efforts to improve efficiency and quality of IPC’s technical conferences and professional development programs.

RESPONSIBILITIES

Communications – 40%

  • Clear, efficient, and prompt written communication with authors, instructors, and subject matter experts (SMEs) from around the world.
  • Provide clear information, guidelines, updates, and deadlines/timelines to internal and external stakeholders.
  • Ensure speaker guidelines and information is up to date and current in all IPC printed and online materials.
  • Respond to and troubleshoot author/instructor/SME inquiries and questions related to conference and professional development program activities.
  • Schedule technical program planning committee calls and other meetings.
  • Work with SMEs to ensure the accuracy of agenda, presentation, and/or course content.
  • Provide content and editorial feedback to IPC Marketing team to support the promotional and marketing communications efforts to drive registration and engagement activity.
  • Provide timely informational reports and updates to IPC Meetings and Events department to ensure logistical, facilities, room set ups, catering, poster session needs.

Program Management – 40%

  • Support the Manager of Professional Development and Events for the lifecycle of the Technical Conference and Call for Participation (abstracts) process, including setting up software program and submission criteria.
  • Track progress on communications with presenters/speakers, engaging closely with them as they develop their content, ensuring they are meeting deadlines, and providing required materials and information.
  • Collect, review, and organize clean data in accurate records, and provide updates and reports to IPC staff.
  • In collaboration with Manager of Instructor-Led Courses and Manager of Professional Development and Events: support development and execution of regular professional development webinar series.
  • Continually make recommendations for improvements or suggestions for new technology solutions to improve efficiency and program quality.
  • Support coordination of technical poster sessions, including communications with presenters, establishing templates, and organizing logistics for set-up. Work closely with Manager of PD and Events and the TPC on poster abstract reviews, selections, and notification of decisions.
  • Assist in monitoring shared Conferences Call for Participation email inbox and responds to questions and requests.
  • In-person/on-site conference support and conference planning: Coordinate presentation schedules, agenda development and collect information from speakers (bios, headshots, etc.).
  • Provide data to IPC Events Registration staff to ensure all invited instructors/speakers are registered.

Evaluation and Improvement – 20%

  • Develop questions for evaluation and/or needs assessments surveys to gather data that will inform the future direction of IPC professional development and conferences.
  • Support enhancement of improved efficiency and program delivery through innovative approaches utilizing technology, multimedia, and/or social media.
  • Regularly monitor technical conferences and professional development programs from similar technical associations to make recommendations on changes, improvements, etc.
  • Analyze participant feedback to identify and implement opportunities for improvement.

REQUIREMENTS

  • General interest/knowledge of electronics, manufacturing, engineering, STEM fields is key to succeeding in this role.
  • Must be organized, detail-oriented, strong project management skills and the ability to maintain accurate records.
  • Tech savvy: experience learning new software and web-based app tools.
  • Experience using Zoom, Microsoft Teams, or other webinar platforms.
  • 20% Domestic travel.
